Summary of Role:

The Document Controller is responsible for all documents in the company. Daily, they will scan and upload paper documents and organize them on a secure server. You will access specific files when requested by different departments as well as control the flow of documents in and out of the department. You will be responsible for the security and accuracy of documents from completion to secure disposal. You will ensure that accurate information is distributed throughout the company, on time, to the people who need it.

 

Duties and Responsibilities:

  • Controlling company and project documentation
  • Following and improving document control procedures
  • Ensuring all documentation meets formal requirements and required standards for potential audits
  • Management of password-secured documentation
  • Sorting, storing, and retrieving electronic and hard copy documents on behalf of clients and industry professionals
  • Producing document progress reports for senior managers
  • Conducting regular reviews and document audits
  • Using IT systems to organise and distribute documents within a company
  • Helping in the planning stages of a specific project
  • Ensure documents are shared at key times to facilitate timely project completion
  • Work with the various functions across the company to ensure company compliance with systems and regulatory compliance.
  • Assist in maintaining the Integrated Management System (ISO 45001, ISO 9001, ISO 50001 & ISO 14001)
  • Provide advice and direction to staff and continuously promote a positive culture within the business.
  • Interact with regulatory bodies, partners, and external bodies
 

Knowledge, Skills, and Abilities:

  • Minimum of 3 years’ experience working as a document controller
  • Excellent interpersonal and communication skills
  • Excellent planning, organisational, training, teamwork, and presentation skills
  • Excellent literacy, numeric and IT skills including proficiency in Microsoft Office
  • Ability to work on own initiative.
  • Ability to respond to constantly changing priorities under pressure
  • Must possess the superior attention-to-detail and diligence creating highly detailed and clear documentation.
  • Full, clean driving license
  • Flexibility in line with business requirements
  • Ability to always represent the organisation in a professional manner
